Marketing and Communications Coordinator

Job Summary:

Reporting to the Senior Manager of Marketing and Communications, this entry-level position is designed to provide an individual who aspires to be a valued member of any team with an understanding of how the day-to-day operations of a Marketing and Communications department contribute to revenue generation.

The Marketing and Communications Coordinator will be responsible for facilitating department operations, generating revenue through promotional campaigns, and assisting the Senior Manager of Marketing and Communications in the tactical execution of the strategy dictated by the Chief Marketing Officer.

Primary Responsibilities:

  • Subscription Campaigns - Contributes to ideation and execution of campaigns for both new subscriber acquisition and subscription renewal campaigns; coordinates direct mail plans to supplement subscription campaigns
  • Single Ticket Promotions - Analyzes single ticket advertising plan and monitors sales patterns to determine if sales goals will be met or exceeded; makes recommendations to Senior Manager to alter advertising plans if sales are not meeting the goal
  • Email Marketing - Utilizes WordFly to produce email campaigns, organize lists, and track results
  • Media Buying - Executes media buys for print, radio, television, and outdoor outlets to obtain prime scheduling, pricing, and frequency/reach
  • External Vendor Management – Facilitates projects with external graphic designers, print, and mail houses to ensure timely production and distribution of print pieces
  • Expense Tracking and Reporting - Codes, submits, and tracks all vendor invoices and assists with managing and monitoring the marketing budget, providing recommendations for monthly forecasts to Senior Manager
  • List Generation - Collaborates with Tessitura Database Manager to produce segmented lists for direct mail and email marketing; generates segmented lists with assistance from the Tessitura Database Manager
  • Print Materials/Publications – Project manages the design, printing, and distribution of all printed materials including but not limited to the following: program book, direct mail pieces, subscription brochures, postcards, posters, lobby signage, etc.
  • Public Relations - Assists Senior Manager in the drafting of press releases, media alerts, talking points, and scripts
  • Social Media - Assists Senior Manager in the research and curation of content for organic social media by utilizing Meltwater; participates in community management by reviewing and responding to follower feedback while identifying trending topics/discussions that are relevant to the FWSO
  • Website Management – Assists Senior Manager with Umbraco, the Content Management System of the FWSO, to keep the website up to date with current organizational initiatives
  • Asset Collection/Archival - Compiles all biographies, photos and information on guest artists, repertoire, conductors, musicians, and executive staff each season; maintains the Microsoft SharePoint Digital Asset Library.
  • Front of House Management - Sets up the lobby ahead of performance weekends, greets patrons in the lobby at performances, and answers patron questions during intermission
  • Other Duties as Assigned - Tasks outside of the primary responsibilities occasionally arise. These are assigned either to provide growth opportunities in other areas of interest or to facilitate department operations.

Education and Experience:

  • Bachelor’s Degree with applicable concentrations/minors or equivalent experience in any of the following: Music Business/Industry, Instrumental Music Performance, Music Education, Music History, Arts Management, Marketing, Communications, or similar degree
  • 0–3 years of professional experience
  • Relevant internships or part-time experience with a performing arts organization, festival, ensemble, or educational institution
