Assistant Orchestra Personnel Manager

Title: Assistant Orchestra Personnel Manager — Full-time

The Fort Worth Symphony Orchestra is currently hiring an Assistant Orchestra Personnel Manager. The Assistant Orchestra Personnel Manager is responsible to help fulfill the tasks and duties of the orchestra personnel department, including overseeing application of the Master Agreement, preparing payroll, scheduling contract musicians, hiring substitute and extra musicians, coordinating auditions.  Reporting to the Orchestra Personnel Manager, the AOPM will ensure a consistent operation to help contribute to the creation of exceptional symphonic music presentations and patron experiences.

Key Responsibilities:

  • Manage and execute the day-to-day data requests of the following:
    • Administer leave requests using online software and shared files, in alignment with the Master Agreement and individual contracts.
    • Record attendance into ArtsVision.
    • Pull rosters, instrumentation, rehearsal orders, and other necessary documents as needed.
  • Manage all aspects of orchestra auditions, including date planning, advertising, processing of applications, facilitation of audition committee work, budgets, and operation of the audition.
  • Ensure timely and consistent communication to orchestra members by utilizing weekly memos or other systems to ensure all pertinent information in a real time basis is received.
  • Determine need for hiring substitute/extra musicians based on instrumentation and leave requests. Engage substitute/extra musicians as needed throughout the season in a timely manner.
  • Manage Onboarding for full and part time musicians to ensure hiring paperwork is complete and meets all legal compliance.
  • In consultation with the Orchestra Personnel Manager, ensure adherence to all contractual obligations and employment practices.
  • Maintain accurate records related to orchestra personnel, contracts, auditions, and other relevant documentation, ensuring confidentiality and data security.
  • Service Duty: Serve as OPM on duty for rehearsals and concerts; mark attendance, time breaks, end rehearsal if necessary, and contact musicians as needed. Serve as Bus Captain for runout events.

Education and Experience:

  • Bachelor’s degree, preferably in music or arts administration, or otherwise applicable experience
  • 1-3 years’ experience in an orchestra personnel management role
  • Knowledge of performing arts technology systems
  • An extensive working knowledge of orchestral repertoire
  • Familiarity with administration of orchestra collective bargaining agreements
